On March 17, 2022, the Board of Education approved an agreement with Rhythm Tech Productions, LLC for $21,000.00 (item 9.b.4). An amendment to increase is necessary due to moving the Alvord High/Alternative Ed graduation ceremony to the Zack Earp Stadium and confetti cannons during the comprehensive high school graduations.
Board approval of this item will amend the original fiscal impact of $21,000.00 by an additional of $3,200.00 for a total of $24,200.00.

On November 5, 2020, the Board of Education approved an agreement (C3013370) with Sandy Pringle (item 8.b.4), effective November 6, 2020 through June 30, 2022. This amendment is to extend the date and is necessary to allow Sandy Pringle to continue providing services for the La Sierra Culinary Arts Project.

On May 20, 2021, the Board of Education approved an agreement (C3013506) with White House Sanitation for $13,000.00 (item 10.b.11). An amendment to the agreement is necessary due to cost increase of supplies and fuel.
Board approval of this item will amend the original fiscal impact of $13,000.00 by an additional $2,000.00 for a total of $15,000.00.

Board approval is requested for agreement C1008679 between the Riverside County Superintendent of Schools and Alvord Unified School District for the Early Education and Expansion Program (IEEEP). The term of this agreement would be effective March 1, 2022 through December 21, 2024.
|
The Riverside County Office of Education Early Child Care program has received a grant from the California Department of Education to increase access for young children up to five years old to inclusive early learning and care programs and to support the inclusion of children with disabilities and exceptional needs in early learning and care settings.
Under this agreement, Riverside County Superintendent of Schools, will provide Alvord Unified School District funds for facility upgrades and staff training to support inclusive practices. The funds will be used to support the district’s early education and expansion program. The district will receive the initial 25% of the apportionment. The remaining 75% will be reimbursed based on reported expenditures. The district will be required to provide a 33% minimum match which may include land, facilities, equipment or salaries/benefits.
Board approval of this agreement will allow the District to receive California Department of Education grant funds from the Riverside County Superintendent of Schools to support the district’s early care and education program through December 2024.

Board approval is requested for a professional services agreement between Eagle Software and Alvord Unified School District, to provide hosting, license, maintenance and support for the Aeries Student Information Systems software at all school sites and district offices, effective July 1, 2022 through June 30, 2025. |
Aeries continues to pioneer new cutting-edge technology innovations in student management software and services going forward. Aeries is constantly enhanced to include new features and functionality to meet the needs of California K-12 education.
Under this agreement Eagle Software would provide software license/support, hosting service, Aeries Analytics, Aeries Online Enrollment, Aeries Communications (Parent Square), and training to the district through the 2024-2025 school year. The three year agreement would guarantee the same pricing through the three academic years.
Board approval will allow the District to renew the services and continue to utilize the student information system software services provided by Aeries Software through the 2024-2025 school year.

Board approval is requested for a professional services agreement between James W. Koeppel, Psy.D. and Alvord Unified School District to provide an Independent Educational Evaluation (IEE) for a student with special needs during the 2021-2022 school year. |
The Alvord Special Education Department received a request from the parents of a student with special needs for a Psycho-educational Independent Educational Evaluation performed by James W. Koeppel, Psy.D. This request was made in accordance with California Educational Code 56329(b) A parent or guardian has the right to obtain, at public expense, an independent educational assessment of the pupil from qualified specialists, as defined by regulations of the board, if the parent or guardian disagrees with an assessment obtained by the public education agency, in accordance with Section 300.502 of Title 34 of the Code of Federal Regulations. When a request is received from a parent, the District must choose between defending their assessment by filing for Due Process or granting the request. This provider meets the professional qualifications required and is within the fee range of other similar providers.
Board approval of this item will allow James W. Koeppel, Psy.D. to provide an Independent Educational Evaluation for a student with special needs during the 2021-2022 school year.

Board approval is requested for an agreement between Sabrina Gonzalez and Alvord Unified School District to facilitate a virtual family engagement webinar on engaging students in at-home, out of school settings. The effective date of this agreement would be May 25, 2022. |
Distance learning has posed many challenges to our students, parents, and community at-large. To keep our families engaged and connected with schools the Family Engagement Office has created an ongoing series of virtual workshops spanning a variety of topics. Sabrina Gonzalez will facilitate a discussion about creating excitement and enthusiasm around learning at home, pivoting and adapting to student needs, and will provide sample activities that parents can do with their children at home.
Board approval of this agreement will allow Sabrina Gonzalez to provide families from all district schools a virtual parent education lesson on Wednesday, May 25, 2022 to start the summer term strong.

Board approval is requested for a professional services agreement between Creative Brain Learning, LLC and Alvord Unified School District to provide supervision and instructional support for the Expanded Learning Program. The term of this agreement would be July 1, 2022 through June 30, 2023. |
The District solicited a Request for Qualifications and Proposals (RFQP) 21-22-001 –Expanded Learning After School and Summer Programs (Program) on February 14, 2022. The District advertised A Notice Inviting Bids in The Press Enterprise on February 14, 2022 and February 21, 2022. Staff invited three (3) known vendors who are capable of providing required services. Four (4) vendors submitted sealed qualifications and proposals to the District on March 14, 2022.
The District’s Evaluation Team (Team) reviewed all information for compliance to the RFQP requirements, as well as review of qualifications and fees. The Evaluation Team invited two (2) vendors to present additional information about their firm and services, plus interview with the Team to discuss District requirements, expectations, and what each vendor could provide to the District’s Program as a standard and enhancements to the students learning experience.
The District Evaluation Team selected Creative Brain Learning, LLC for recommendation of award of a contract by the Board of Education, based on best overall value for services and enhancements, specifically Music and STEM instruction, which meets the District's requirements, for an initial period of 1 year, with renewable options solely exercisable at the discretion of the District. This agreement would account for services and staffing to match the grant award.
The District’s Evaluation Team is recommending that the Board of Education approve the above firm and authorize staff to enter into a contract for the District’s Expanded Learning Program. Board approval will allow Creative Brain Learning, LLC to provide the necessary services for Expanded Learning for the 2022-2023 school year.

Board approval is requested for an agreement between Studio 1 Distinctive Portraiture to be the exclusive photographer for all fee-based portraiture at Arizona and Loma Vista Middle Schools during the 2022-2023 school year. |
The scope of the license authorizes Studio 1 to be the exclusive photographer for all fee-based portraiture at Arizona and Loma Vista Middle Schools. Studio 1 will only use the images captured of each student for producing photo packages and ID cards. Upon the request of the school and/or district, Studio 1 will also provide images for the school’s student management system, yearbooks, library software, etc.
Board approval of this item will allow Arizona and Loma Vista Middle Schools and Alvord Unified School District to enter into an agreement during the 2022-2023 School year.

Board approval is requested for adoption of Resolution No. 48 - Release of Temporary Employees. California Education Code Section 44954(b) allows the Governing Board of a school district to release temporary employees. |
California Education Code Section 44954 (b) states that the Board may release a temporary certificated employee if the employee is notified before the end of the school year of the District’s decision not to reelect the employee for the next succeeding school year.
Each year, the District hires temporary employees to backfill certain certificated employees who are on leave to serve in those positions and to backfill employees on leave for illness. Using temporary employees in these cases, allows the District to have flexibility in staffing and also serves as a preventive measure to overstaffing.
